Who is the IT-Check for?
For small and mid-sized businesses whose IT has grown but was never planned. Typical signs:
- Data sits in many tools that are not connected.
- Nobody knows exactly which subscriptions are running and what they cost.
- IT security and GDPR are handled “somehow”.
- Knowledge of the systems depends on one person.
What do we review?
- Stack and subscriptions: all tools, licences and costs, duplicates and unused subscriptions
- IT security and GDPR (basics): access, backups, devices, obvious risks
- 2–3 core business processes: for example enquiry to quote or order to invoice. Where is time lost, where would automation or AI help?
- Website and customer journey: how customers find you and where they drop off
Business process analysis: where time and money are lost
Business process analysis is a central part of the IT-Check, because most losses happen not inside a single tool but between tools and people. We take 2–3 core business processes that cost you the most effort, for example enquiry to quote, order to invoice, or purchase to delivery.
- Capture the current state: we walk through the process with the people who use it every day and record how it really runs, not how it looks on paper.
- Find the losses: double entry, switching between email, Excel and messengers, waiting, follow-up questions and sources of errors. We estimate the time per step and convert it into hours and euros.
- Assess improvements: what can be simplified, automated or supported by AI, and what cannot? “Leave it as it is” is an honest answer too.
- Sketch the target process: you get a proposal for how the process should run in future, with effort, benefit and order of steps.
How it works
- Kick-off: we clarify your goals for the next 1–2 years.
- Data collection: questionnaire, conversations with the people who work in these processes every day, and a look at your tools.
- Analysis: we assess costs, risks and potential.
- Report and meeting: we present the results and answer your questions.
What you get
- A report with numbers: today’s costs, savings potential, risks by priority
- A process overview for 2–3 core business processes: how it runs today, how it could run, with time and cost
- An implementation plan with steps and a cost estimate
- 1–3 metrics we can later use to measure success
